How to import data from OneSchool

The MyEDiary data import system has been designed to work effectively with the Data Export Reports extracted from OneSchool. User and timetable information is broken into five separate imports in MyEDiary:

  1. Staff Import
  2. Student Import
  3. Parent/Guardian Import
  4. Class Lists import
  5. Enrolments import

Step 1 - Export data from OneSchool

Export the following data export reports from OneSchool:

  • Timetable export (only 1 week required)
  • Student export
  • Parent mobile/email contact export
  • Student class export

Step 2 - Format the data

Some changes are required in order for data to be successfully imported into MyEDiary. An intermediate knowledge of spreadsheet programs such as Excel is beneficial. Remember that the Customer Success Team is always on hand to assist with your data imports.

Timetable export
This data becomes the basis of the Staff and Class Lists imports.

The following columns are required for the Staff import:

  • Staff_MISID (to be concatenated with '@eq.edu.au' to form the staff email address)
  • Staff_Code
  • Staff_Last_Name
  • Staff_First_Name

Note:

It is recommended to remove the other columns from the file then run a remove duplicates so that each staff member is only listed once. Then save the data as a new CSV file (e.g. "Staff.csv").

The following columns are required for the Class Lists import:

  • Class_Name
  • Subject_Name
  • Day
  • Period
  • Start_Time
  • End_Time
  • Staff_Code

Note:

It is recommended to remove the other columns from the file then save the data as a new CSV file (e.g. "Class Lists.csv").

Mapping the fields in MyEDiary during the import should look something like this:

Student export
This data becomes the basis for the Student import. The following columns are required:

  • EQID
  • MISID (to be concatenated with '@eq.edu.au' to form the student email address)
  • Last_Name
  • First_Name
  • Year_Level

Tip:

Ensure that any students not currently attending school are filtered out via the Enrolment_Status column.

Parent mobile/email contact export

This data becomes the basis for the Parent/Guardian import. The following columns are required:

  • MISID (to be concatenated with '@eq.edu.au' to form the student email address)
  • Last_Name (of the parent)
  • First_Name (of the parent)
  • Email_Address (of the parent)

This data becomes the basis for the Enrolments import. No modifications required! :-)

Step 3 - Import your data

You should now have your five CSV files (Staff, Student, Parent/Guardian, Class Lists, Enrolments) ready for import. Refer to our  How to use the CSV import tool article for more information on importing your data into MyEDiary.
